Primary Responsibilities
The Administrator, Office role ensures the smooth operations of the front office at Mountain Man and reports to the Director of Operations. This role handles correspondence and administrative support for franchisees, distributors, and customers. This role also supports the business by preparing and shipping samples to current and prospective customers and partners. Essential Functions
DUTIES, TASKS AND RESPONSIBILITIES:
- Serve as the first point of contact for visitors and customers
- Serves as a point of contact for suppliers, manufacturers, and distributors
- Identifies challenges and opportunities facing distributors
- Advises the Director of Sales on business needs and structure
- Monitors market prices for ingredients
- Assists the Director of Sales for new product announcements
- Processes franchise applications.
- Explains franchise policies and procedures to new franchise owners and applicants.
- Coordinates necessary licensing and reporting.
- Maintains and files accurate reports related to franchises on a regular basis.
- Serves as a primary point of contact for franchisers and other related stakeholders.
- Prepares product samples for current and potential customers.
- Assists the Director, Sales to plan seasonal promotions, including holiday baskets.
- Assists the Director of Financial Analysis and Planning with supplier needs.
- Supports internet sales team for product fulfillment and job setup.
- Maintains distributor forms.
- Provides administrative support for the warehouse, such as inventory tags.
- Oversees holiday season basket promotion.
- Other duties and projects as assigned.
SKILLS, KNOWLEDGE AND ABILITIES:
- Proficient with Microsoft 365 products.
- Knowledge of franchise laws and practices preferred.
- Proficient with third-party shipping software, such as UPS.
- Knowledge of food packaging and safety.
- Customer oriented.
- Strong attention to detail.
- Strong verbal and written communication skills.
- Ability to work in a fast-paced environment.
- Adaptable to changing business needs.
Minimum Requirements, Qualifications, Additional Skills, Aptitude
EDUCATION AND EXPERIENCE:
- One to three years' experience in an office setting supporting sales and marketing.
- Three years' experience in customer service.
- Experience in food manufacturing and packaging preferred.
PHYSICAL REQUIREMENTS:
- These physical demands are representative of the physical requirements necessary for an employee to successfully perform the essential functions of the job.Must be able to sit and stand for extended periods of time. The job may require working in a warehouse environment, including lifting, lowering, and carrying up to 50 pounds infrequently. Requires the use of hands and fingers for typing, product packaging, labeling, and shipping.
